What we do for every department and student group that collaborates with us on their private and public events are as follows at no additional cost:

  • Create registration or ticketing webpage or microsite which includes e.g. event synopsis, event image, agenda if any, guest speaker bios if any, registration/ticketing instructions and policies.
  • Edit the webpage during registration period if there are changes to e.g. guest speaker/bio, agenda.
  • Program event capacity (which can be adjusted during registration/ticketing period) so that we do not exceed the number of registrations/tickets you’d like for your event.
  • Customize registration/ticket types/categories you’d like for attendees to select from e.g. Stanford University Student; General Public; VIP.
  • Create and embed a questionnaire/online form with questions you may have e.g. company/organization name, dietary restrictions using e.g. text box fields, drop down list, checkbox.
  • Send order confirmation email receipt with custom copy for each registration/ticket order.
  • Create custom promo code links.
  • Web-authenticate (SUNet ID and password) Stanford University Faculty/Staff/Postdoc/Student transactions.
  • Customize replies for attendee inquiries via email about their registration/ticket orders.
  • Program event reports to send daily, a few times a week or weekly (the frequency of reports can be adjusted during the registration/ticketing period).
  • Promote your event if it is open to the public and if/when you’d like us to, via our website and email blasts.
  • Email a one-page report itemizing gross transactions dollar amount, expenses (e.g. credit card network/bank fee(s), Stanford PCI compliance fee), and net revenue for your approval for financial reconciliation.
  • Disburse funds via iJournals/PTAs.

Our turn-around time from when we get complete event information to create the registration webpage for your review and approval is about two to three business days.

Optional:

  • If you’d like onsite support for about 2 hours to check in registrants, distribute name badges if any, scan tickets, we can offer this service free or at a nominal hourly fee.
